Quick answer

What SalesVu Inventory does, end to end

SalesVu Inventory covers the full product lifecycle: create sellable and non-sellable products tracked by unit, weight, or component recipe; assign vendors; draft, send, partially or fully receive purchase orders; run count sheets from the POS; transfer stock between locations; print barcode labels; and report on movements, COGS, current stock levels, inventory value and a Days-on-Hand stockout forecast. Layered on top is a workforce of AI Background Agents — Smart PO Automater, PO Lead Time Analyst, Stock Shrinkage Analyst, Profit Margin Analyst, Promotion Opportunity Analyst, Cross-sales Analyst and Theft Detection Analyst — that analyze your data automatically every Monday (or on-demand) and surface the next best action in the Reports view.

The inventory AI agents working in the background

Enable any agent from the Reports page. Each one runs automatically every Monday on the previous week's data, or on-demand via Run Now — results appear in under 15 minutes with a red-dot indicator next to the agent's name.

01

Smart PO Automater

Reads your Threshold Quantity, Max Stock Days, Storage Capacity and Lead Time per SKU, plus sales velocity, and drafts vendor purchase orders for you to approve in one tap.

02

PO Lead Time Analyst

Watches the gap between when you place orders and when goods actually arrive, per vendor. Flags vendors whose lead times are drifting so reorder points stay accurate.

03

Stock Shrinkage Analyst

Compares expected inventory against received POs, sales and counts. Highlights SKUs and locations where unexplained shrinkage is occurring so you can investigate.

04

Profit Margin Analyst

Cross-checks landed cost, current price and recent sales to call out SKUs whose margin is silently eroding — and where a price or vendor change would pay back fastest.

05

Promotion Opportunity Analyst

Identifies slow-moving stock and items at risk of becoming dead inventory, with a recommendation for which products to promote and through which channel.

06

Cross-sales Analyst

Mines transaction history to surface items that genuinely sell together, so you can configure bundles, recommendations and in-store displays around real behavior.

07

Theft Detection Analyst

Scans cashier behavior and inventory anomalies for patterns consistent with internal theft and surfaces them for review.

08

Listing Enrichment Agent

Auto-writes SEO-rich product descriptions, attributes and metadata so new SKUs go from added to ranked without a marketing person in the loop.

09

Marketplace Sync Agent

Pushes your live catalog and stock levels to Google, Amazon, delivery marketplaces and your eCommerce site so on-hand counts stay in sync across every channel.

Where it pays off

What that means for the people doing the work

Benefits framed around the manager, the buyer, the floor lead and the owner.

Best-sellers stop running out on Saturday night

Auto-PO uses your Threshold Quantity and Max Stock Days settings — combined with real sales velocity — to draft the right reorder, for the right vendor, at the right time. Approve and send in seconds.

Dead stock stops piling up

Storage Capacity caps overbuying, the Promotion Opportunity Analyst surfaces the slow movers, and Days-on-Hand forecasting tells you when a SKU is about to become a problem rather than after it already is.

Counts that don't shut the store down

Create count sheets in the SalesVu portal that sync instantly to the POS app. Employees count product-by-product or by storage area on iPad, in the aisle, in minutes.

Components, modifiers and weighted items handled

Track recipes (a burger that deducts patty, bun and lettuce on sale), modifiers (size and color variants), and weight-based items. Sellable and non-sellable products keep parts inventory honest without polluting the menu.

Vendors, custom PO fields and partial receives

Assign products to vendors, send purchase orders with discounts and fees, capture custom fields (shipment method, internal PO number), and receive partially or in full as goods actually arrive.

Multi-location transfers, storage areas and serial numbers

Move stock between locations, manage multiple storage areas per site, and track individually identifiable items (serial numbers, maintenance dates) for high-value goods using customizable fields.

Reports that answer the actual question

All-in-One Sales & Profitability Master Report, COGS, inventory movements, current stock levels, inventory value over time, product performance and Days-on-Hand stockout forecasts — exportable for finance and ops.

Owner gets a Monday briefing, not a spreadsheet weekend

Background Agents run every Monday on the previous week's data and post their findings to the Reports page. A red dot tells the owner what changed; one tap shows the recommended action.

Answer-engine FAQs

Common questions

How do I create products so inventory tracks correctly?+

Create products from the SalesVu.com portal, then choose how each one is tracked under Inventory Setting: by unit (including custom units like 'bottles' or 'cases'), by weight, or not tracked at all (for services and digital goods). The portal exposes the full set of options; the POS app is best for quick add-ons.

What's the difference between sellable and non-sellable products?+

Sellable products appear on POS, kiosk and eCommerce and can be sold directly. Non-sellable products are components used inside sellable products — for example, a ketchup bottle used as an ingredient in a meal — so inventory of parts is tracked accurately without cluttering the menu.

Can I track variants like sizes and colors?+

Yes. Create modifier groups (Sizes, Colors), add modifier items (Small, Medium, Large), and assign them to products. Modifiers can deduct specific quantities or variant stock when selected at point of sale.

How do recipes and components work?+

On a sellable product, open Select Component and add the non-sellable components plus the quantity used per unit. When the sellable item sells, SalesVu automatically deducts each component from on-hand inventory.

Can I assign a product to a vendor?+

Yes. Create a vendor under the Inventory tab, then in the Vendor tab choose Assign Products and select categories or individual items. Vendor assignment powers purchase orders, vendor revenue share reports, and the PO Lead Time Analyst.

What is a Purchase Order and how do I create one?+

A Purchase Order is a formal document to a vendor specifying products, quantities and prices. POs in SalesVu live in three states — Draft (editable), Open (sent and partially receivable) and Closed (fully received) — created from the Purchase Orders tab and updated against inventory automatically when you receive them.

How does Automatic Purchase Order Creation work?+

Under Manage Inventory you set Threshold Quantity (the minimum stock level that triggers a PO), Max Stock Days (how many days of inventory to keep on hand), Storage Capacity (the cap so you don't over-buy) and Lead Time. The Smart PO Automater uses those settings plus real sales velocity to draft purchase orders automatically; you approve and send.

How do I receive a purchase order?+

Open the PO and receive fully or partially depending on what actually arrived. Received quantities are automatically added to inventory at the right storage area and location.

What is a count sheet and where do my employees use it?+

Count sheets are created in the SalesVu.com portal and synced instantly to the POS app. Staff open the count sheet on the iPad, count by product or by storage area, and submit — the system reconciles against expected on-hand and updates inventory.

Can I set alerts for low stock?+

Yes. Set a Threshold quantity per SKU. When inventory drops below that level, SalesVu raises a low-stock signal — and, with Smart PO Automater enabled, drafts the replenishment PO for you.

How are out-of-stock items handled across channels?+

The Out of Stock Setting controls behavior independently for eCommerce, POS and kiosk. Choose to show an Out of Stock banner (allowing or restricting sale) or hide the product from the channel entirely until it's restocked.

Can products live in multiple storage areas?+

Yes. Enable multiple storage areas, define them, and assign products. Stock is tracked per area, counts can run per area, and replenishment decisions can use area-level visibility.

Can I transfer inventory between locations?+

Yes. Inventory Transfers move stock between locations with full audit trail. You can also automate orders and POs that are triggered during transfers so the receiving location's stock stays accurate.

Can I track serial numbers and maintenance dates?+

Yes. Use customizable fields on individually identifiable items — bicycles, laptops, machinery, equipment — to capture serial numbers, physical location, maintenance dates and any other attributes you want to report on later.

Can purchase orders capture custom information like shipping method?+

Yes. Create custom PO fields (e.g., 'Shipment Method', 'Internal Order #'), edit and reorder them as your process changes, and search POs by those fields later. Custom fields make procurement workflows match your business, not the other way around.

How do I report on inventory movements and COGS?+

Use the Inventory Movements report for the audit trail, the All-in-One Sales & Profitability Master Report for revenue with COGS subtracted, and the COGS report for cost-of-goods specifically. Inventory Value over Time tracks the dollar value of what's on the shelf.

What is the Days on Hand stockout forecast?+

Days on Hand projects how many days of inventory remain for each SKU at current sales velocity — so you know which items will stock out before they do. It feeds the Smart PO Automater and is the metric most operators check first on Monday.

What are SalesVu AI Background Agents and how often do they run?+

AI Background Agents analyze your inventory and sales data without you having to ask. Once you enable them from the dashboard, each agent runs automatically every Monday on the previous week's data, posting results to the Reports view with a red-dot indicator. You can also trigger any agent on-demand with Run Now and results return within 15 minutes.

Which AI agents are most useful for inventory specifically?+

Smart PO Automater (drafts POs), PO Lead Time Analyst (vendor reliability), Stock Shrinkage Analyst (unexplained loss), Profit Margin Analyst (margin erosion), Promotion Opportunity Analyst (slow movers), Cross-sales Analyst (real bundle behavior) and Theft Detection Analyst (anomaly review). Listing Enrichment and Marketplace Sync agents extend the same data to online discoverability.

How do I print barcode labels for receiving and counts?+

Generate barcode labels from the portal for any product or batch — useful when receiving POs, organizing storage areas, and accelerating count sheets at scan-speed on the POS.

Can I export inventory data for external analysis?+

Yes. Every core inventory report — movements, current stock, inventory value, All-in-One Profitability, COGS, Purchase Order Export — exports for use in your accounting system, BI tool or warehouse.

What does Asset Management (Individually Identifiable Items) do?+

For high-value goods (bikes, instruments, equipment), every unit is tracked individually with serial number, location, maintenance dates and custom fields. Owners can serve a customer's warranty claim or insurance request in seconds instead of digging through paper.

What does Monthly/Quarterly Inventory Budgets do?+

Set a spend cap per period per category or vendor; the Smart PO Automater respects it when drafting orders. Cash flow stops getting blown up by a buyer 'just topping off' inventory.

What does Custom Purchase Order Fields do?+

Add fields like Shipment Method, Internal PO Number, Buyer Name or Container ID, and search POs by them later. Your procurement workflow fits your business, not the other way around.

What does Add Discounts and Other Fees to Purchase Orders do?+

Capture vendor discounts, freight, duty and miscellaneous fees right on the PO so landed cost is correct from receipt forward. COGS and margin reports actually reflect what the goods cost you to land.

What does PO Payment Status do?+

Mark POs as Unpaid, Partially Paid or Paid so accounts payable knows what's open. Eliminates the weekly 'is this PO paid?' email loop between buyers and AP.

What does Manage Payment Terms do?+

Configure Net 30, Net 60, COD, prepaid etc. per vendor so payment due dates are computed automatically. Owners avoid late-payment fees and missed early-pay discounts.

What does Vendor Style Number Field do?+

Store the vendor's own SKU / style number alongside yours during product creation. Re-orders, receiving and vendor disputes use their language and yours without manual translation.

What does Show/Hide Columns in PO and Inventory Views do?+

Customize which columns show in the PO list and the View/Adjust Inventory report. Buyers, managers and accountants each see the version of the data that matters to them.

What does Search Purchase Orders by Products or Categories do?+

Find every PO that contained a specific item or category in seconds. Investigating a recall, vendor issue or price-change history stops being a half-day exercise.

What does Inventory Quantity Adjustment on Portal do?+

Adjust on-hand quantities with a reason code (shrinkage, breakage, donation, found stock) directly from the portal. Audit trail is preserved so finance can reconcile without surprises.

What does Auto-Generate Barcodes for New Products do?+

If a SKU comes in without a barcode, SalesVu generates one and it prints to labels automatically. New product launches stop being held up by 'we need barcodes'.

What does Print Bar Code Labels and Zebra Printer Label Printing do?+

Generate and print SKU and price labels on standard or Zebra label printers, including from your PC. Receiving and shelving stop being a bottleneck for the new buy.

What does the Inventory Movements report do?+

Audit every change — sales, receivings, transfers, counts, adjustments — per SKU and location. Shrinkage and discrepancies get traced to a root cause instead of being written off.

What does the Profit Margin Report do?+

Reports per-SKU, per-category and per-location margin from real landed cost. The Profit Margin Analyst AI agent uses it; humans use it to know what to drop, promote or reprice.

What does the Total Cost of Inventory Report do?+

Tracks the dollar value sitting on your shelves over time. Owners and lenders get one number that quantifies how much cash is locked in stock at any moment.

What does the Inventory Transfer Report do?+

Reports every transfer between locations with quantities, who sent, who received and any discrepancy. Multi-location operators close the 'where did our stock go?' loop.

What does Importing Inventory do?+

Bring product, vendor and stock data in from CSV during onboarding or migration. You don't lose months rebuilding a catalog when you switch from a legacy system.

What does Hide Products vs. Show Out-of-Stock Banner do?+

Channel-by-channel control: hide a product entirely when out of stock, or show it with an Out of Stock label that may still allow backorder. You can prevent disappointing sales online while leaving in-store walk-ins informed.

What does Merge Modifiers do?+

Consolidate near-duplicate modifier groups (e.g., 'Size' and 'Sizes') into one clean group. Modifier sprawl gets cleaned up without breaking historical reporting.

What does Setup Inventory with Cases and Bottles do?+

Track a vendor unit (a case of 24) separately from a sellable unit (a single bottle), with automatic deduction on sale. Beverage, beauty and any case-pack business gets accurate on-hand without doing math at the bar.

What does Variable-Priced Products do?+

Mark an item to ring at any cashier-entered price (custom services, deli weight, made-to-order). You don't need 50 menu buttons for every possible price.

What does Disable Products or Categories for a Period of Time do?+

Temporarily hide an item or whole category from POS, kiosk and eCommerce without deleting it. A seasonal menu or a sold-out collection comes back with its data intact.
